Job DescriptionWe are seeking a skilled Document Controller to manage and oversee all aspects of project documentation across multiple workstreams. This role ensures that all project information is accurately recorded, maintained, and distributed, supporting efficient communication between internal teams, contractors, and stakeholders.
Key ResponsibilitiesManage the creation, revision, storage, and distribution of project documents in line with company standards and project requirements.
Maintain accurate registers of incoming and outgoing documentation.
Ensure all documents comply with quality assurance standards, including correct versioning, formatting, and metadata.
Set up and administer electronic document management systems (EDMS) such as Aconex, Asite, Viewpoint, SharePoint, or similar.
Facilitate workflows, approvals, and transmittals between internal and external stakeholders.
Support project teams by uploading, downloading, and distributing drawings, technical submittals, O&M manuals, and reports.
Conduct quality checks to ensure compliance with contractual, ISO, and project-specific document requirements.
Provide training and guidance to colleagues and subcontractors on document management processes.
Generate reports on document control activities, including outstanding approvals, overdue actions, and compliance metrics.
Act as the main point of contact for all document control queries on assigned projects.
RequirementsProven experience in a Document Controller role within construction, engineering, rail, utilities, or infrastructure sectors.
Strong working knowledge of EDMS platforms (e.g., Aconex, Asite, Viewpoint, BIM 360, SharePoint, Procore).
Familiarity with industry standards such as ISO 19650 and NEC3 contract processes.
Excellent organisational skills with high attention to detail and accuracy.
Strong communication and stakeholder management skills, both verbal and written.
Proficiency in Microsoft Office (Excel, Word, Outlook, Adobe PDF).
Ability to work under pressure, managing competing deadlines across multiple projects.
Knowledge of typical project lifecycles in construction and engineering.
Relevant qualifications or certifications in document control or construction (desirable).
